Orchard Point Group will engage and partner with an established event planning vendor to plan, manage, and execute your company meetings and events – big and small in size. Annual conferences, trade shows, sales meetings, summits – OPG will function as an extension of your existing team, functioning as the “hub” of the initiative. In partnership with the expertise and resourcing of the Event Planning vendor, OPG can assist with:
- Detailed Planning and Execution – Responsible for general planning and oversight, OPG understands the nuances associated with the many required, moving parts. Maintaining and finalizing a detailed agenda, managing an evolutionary attendee list, ensuring top-notch technology utilization, determining the type of spaces needed for session setups, food & beverage planning, key speaker scheduling & communication, executive transportation and accommodations, and overall on-site tactical execution… all while ensuring we consistently drive the approved theme and content.
- Creative Development and Partner Collaboration – Management and collaboration across vendor partners to align roles, tasks and timelines. From affiliated organizations to creative agencies, audio/visual partners and internal stakeholders, OPG serves as your single-source contact for managing the key creative – posters, signage, booth design, collateral and more – all with timelines accounting for everything from approvals to shipping.
- Budget management and compliance – OPG will track spend against established budget allocations, manage vendor invoicing, and be accountable for final budget reconciliation. In addition, we are always keeping eyes open for opportunities to leverage cost savings, especially within today’s spend cap limits.
- Coordinate additional activities – In addition to key meetings, there are often team-building exercises such as 5k runs, contests, award ceremonies, and more. OPG’s detail-oriented, project management focus brings creativity and acuity to planning and executing these important activities.
